Active-Duty Orders, Deployment, Reserves Guidelines

Active Duty/Deployment

If you receive military orders after the Census Date for the current semester, please submit it to the Veterans Services Coordinator as soon as possible. They will help work with your instructors to determine what course of action would be best for you to take that will least impact your benefits and/or your progress. Depending on the circumstances, your course of action may include completion adjustments, incomplete grade(s), withdrawing and receiving a grade of W, or receiving an administrative drop.

If you received orders before the start of the semester, you will not be eligible for an administrative drop after the drop deadline.

Reserves and National Guard

If you are in the National Guard or the Reserves and have scheduled trainings or drill that may prevent you from attending during a specific class time, you should communicate with your instructors prior to the start of term. A copy of the scheduled trainings must be submitted to the Veterans Services Coordinator. Your instructors will determine if course completion adjustments can be granted.

If they are granted, instructors will work with you (on a case-by-case plan) in advance for homework, assignments, quizzes, or exams that may be missed.

If course completion adjustments cannot be provided, you should be prepared to make schedule changes, such as dropping.

If you receive orders for deployment or drill/training after census date and your instructor determines that course completion adjustments cannot be granted, incomplete or administrative drop will be granted as best fits the incomplete policy.

You will need to work directly with your instructors/departments to make reasonable adjustments to complete work by the end of the semester. You may need to submit a copy of your official orders to your instructors. Depending on the length of the service obligation and/or course content and requirements, special consideration may need to be approved by the pathway dean or Provost.

Yes, if the semester has progressed far enough and you have completed enough of the coursework to meet the minimum requirements for an incomplete. This can allow you additional time, beyond the end of the semester, to finish up the work for your classes. Special consideration may need to be approved by the pathway dean or Provost.

You may be eligible to withdraw from your class(es). You will still be responsible for any balance due on your account and a W (Withdraw) grade will be applied to the classes. To request tuition credit please complete the Extenuating Circumstance Appeal and submit it along with a copy of your official orders.

*Please note that a W grade may create a VA debt if you are using your GI Bill™ benefits and can affect Financial Aid eligibility.
